Set file policies
- In the left pane, clickFile.
- Set theGeneral settings:
- To allow the upload of any file type (including types not protected byBlackBerry Workspaces) including files uploaded via sharing, in theUpload files that cannot be protectedsection, selectApply to workspace filesandApply to sent files, as desired.
- To enable curtain mode on files uploaded toBlackBerry Workspacesand shared, in theEnable curtain modesection, selectApply to workspace filesandApply to sent files, as desired.
- SelectLock workspace name and description after creationto allow organization and super administrators only to edit workspaces and to block the ability to delete workspaces after they are created.
- To enable file locking in your organization, selectEnable file locking.
- To enable file commenting in your organization, selectAllow all organization members to make comments. If this option is selected, you can choose toAllow the content of comments to display in emails.Hiding the content of comments in email notifications is a good security practice, since it prevents sensitive comments from being transmitted over plain text.
- Set theOnline Access Settings: enter the number of hours files are available for offline viewing.
- Set theConversion settings. To delete unopened copies of converted files, selectDelete converted copies of unopened filesand enter the desired number of days after which to delete the files.
- Set the upload and download restrictions for specific file types:
- SelectAllow upload and sync of the following file types only, and enter the file types that users can upload and sync using the following format: *.file extension (for example, *.exe).
- SelectRestrict upload and sync of the following file types only, and enter the file types that users cannot upload and sync using the following format: *.file extension (for example, *.exe)
- SelectLimit upload and sync file size, and enter the maximum size, in MB.
- Set theFile Retentionsettings:
- To move inactive workspaces to the Recycle bin after a certain amount of time, selectMove inactive files to the Recycle binin theWorkspacesarea, and enter desired the number of days after which to move the workspace.
- To move inactive files from the Sent items to the Recycle bin after a certain amount of time, selectMove inactive files to the Recycle binin theSent itemsarea, and enter desired the number of days after which to move the files.
- To permanently delete files stored the Recycle bin after a certain amount of time, selectPermanently delete files stored in the Recycle binin theRecycle binarea, and enter desired the number of days after which to delete the files.
- To set theFile versionssettings, select one of the following:
- To limit the number of versions saved for each file, selectMaximum number of versions saved for each file, and enter the maximum number of file versions.
- To set the number of versions saved for each file per day, week, and month, selectNumber of versions saved daily, weekly and monthly, and enter the maximum number of file versions for day, week, and month.
- Set theFile Acknowledgementsettings:
- SelectEnable read acknowledgementto have the Require read acknowledgement check box appear when users create new workspaces or send files.
- SelectRequire read acknowledgement by defaultto make Require read acknowledgement the default setting.
- ClickApply changes.
